Nailing your professional writing every time

WritingBlogFJust because we all write, as a matter of course, doesn’t mean we all achieve professional writing. The reality is some of us write easily and naturally, while others bleed with every keystroke, forever feeling like we’ve butchered our writing task.

We all write emails and some of us are charged with writing much more, like website copy, content writing, blogs, reports, letters, tenders, even media releases and so on. In fact, it is often the case that much hinges on how well we articulate ourselves with the written word.

Writing is you and your organisation laid bare on the page. In many cases it will be the first and, heaven forbid, the last impression our external and internal stakeholders will have of us.

But there are a few important things to take into consideration before you press send or hand a document over in person.

The first thing to do is drop the baggage. Don’t panic and don’t overthink. Stay focused on the subject at hand and put the jargon and redundant to one side. You can achieve this by knowing your subject intimately. And also knowing your company’s key messages intimately.

Albert Einstein said: “If you can’t explain it simply, you don’t understand it well enough”.

In writing, nothing can be more true. Whether it be a blog or a detailed explanation of your services to prospective client in a brochure, you need to get to the heart of what you do and why you do it, in a way that anybody can understand.

This can be more easily said than done. Often you may find writing tasks are delegated to people who also have a job to do that doesn’t involve professional writing. You’ll ask them to write a blog or a media release, when this is, in fact, not their area of expertise. The result could be anything from a poor final product to a job not getting done at all.

For this very reason it can pay to outsource your writing work to professionals.
